Administrative Assistant

InMotion Hosting is an industry leader specializing in web hosting and design. We are currently looking for an Administrative Assistant to join our team in our California office in the Westside of LA.

As the Administrative Assistant you will provide administrative support to the InMotion executive team and department managers by assisting in daily office needs and managing our company’s general administrative activities.

To be successful in this role, your past leaders should be able to describe you as resourceful, energetic, and extremely organized.

What You’ll Do:

  • Schedule and organize activities such as meetings, travel, and site wide company activities.
  • Serve as first point of contact to external callers, on-site visitors, customers as well as internal contacts at all levels of the organization. Respond to regularly occurring requests for information.
  • Draft and design general correspondence and business documents, including proofreading, grammar, and layout.
  • Oversee general office supply ordering, inventory management and routine and non-routine employee relation events. Includes travel to such places as post office, stores and ordering of scheduled and non-scheduled food/catering orders. 
  • Serve as an extension of Human Resources, which may include scheduling of interviews, distribution and completion of new hire paperwork and assisting with the planning and organization of site and/or companywide events.
  • Work independently and within a team on special and nonrecurring and ongoing projects.

Ideal Candidates Have:

  • Bachelor’s degree and/or equivalent combination of education and experience.
  • 1-3 years of previous experience working directly with executive team members.
  • Personal vehicle and valid driver license is required, all mileage is reimbursed.
  • Strong knowledge of Microsoft Office Suite. Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Strong organizational and interpersonal communication skills. Position continually requires demonstrated poise, tact and diplomacy. Must be able to perform duties independently with minimal direction.
